We are seeking a professional and experienced Executive Assistant to the CEO to join our team in Ho Chi Minh City. As an Executive Assistant to the CEO at Trusting Social, you will play a pivotal role in supporting the CEO in our executives, ensuring efficient management of their schedules, tasks, and communications. Your exceptional organizational skills and proactive approach will contribute to the smooth functioning of daily operations and the overall effectiveness of our leadership team. Responsibilities

Executive Support

  • Assists the CEO with daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments, completing expense reports, composing and preparing correspondence, arranging complex and detailed travel plans, itineraries, and agendas, compiling documents for meetings, drafting reports, letters of solicitation, and proposals, as well as preparing and coordinating oral and written communication.
  • Communicates with the general staff on the CEO’s behalf and coordinates logistics with high-level meetings both internally and externally. Coordinates meetings and strategic activities for the management team.
  • Communicates directly and on behalf of the CEO with staff, partners, board members, and others on matters related to the CEO's initiatives. Provides a bridge for smooth communication between the CEO's office and internal departments.
  • Supports the CEO in his external commitments, including service on external boards, committees, and other groups. Answer the main phone line and respond to inquiries.

Coordinator

  • Serves as the CEO’s administrative liaison to all staff, as the person who coordinates and takes notes, prepares, distributes documents and equipment, updates, and explains (on behalf of and if any) to employees or others in meetings with the CEO.
  • Coordinates with other departments; maintains confidential files and contact information; coordinates meetings, conferences, and committees both on and off-site to support the CEO’s agenda.

Management Liaison

  • Assists in scheduling and attending meetings.
  • Assists in coordinating the agenda of senior management team meetings. Prepares an account of the meetings and designates and follows up on assigned action items.
  • Works directly with senior-level staff both internally and externally.
  • Support the CEO in upholding and promoting the company's values and culture. Initiate and implement programs of the company and the CEO (Townhall, year-end party, team building, learning & development, sports, challenges, etc.) in order to engage and motivate employees and ensure that the company's mission and vision are communicated effectively both internally and externally.
  • Provides assistance as needed to the CEO, including, but not limited to, supporting event management, managing petty cash reimbursements and reconciliation, accepting packages and other deliveries, providing lunchtime relief, and greeting and signing in visitors/guests.
  • Assists with administration and logistical support. Proactive and dedicated to performing other duties as assigned by the CEO

What you need to have

Qualifications

  • Bachelor or higher degree with a minimum IELTS score of 7.0; additional language certification is a huge plus.
  • Proven ability to use outstanding interpersonal and communication skills to build strong relationships and negotiate challenging situations, often with senior executives, in a friendly and professional way.
  • Maintain a high level of confidentiality and professionalism in handling sensitive information and communications.
  • Act as a trusted liaison and point of contact for the CEO, maintaining professionalism and confidentiality at all times.
  • Emotional maturity.

Skills & Abilities

  • Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, and external partners.
  • Proficiency in Windows, including MS Word, EXCEL, and PowerPoint; data management knowledge is helpful.
  • Ability to conduct research and present data in a succinct and well-written manner.
  • Ability to work independently and with professional discretion.
  • Excellent interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, and external partners.
  • Mastery in writing, editing, grammatical, organizational, and research skills.
  • Knowledge of other languages and international customs is an asset.
  • Dedication to workload, excellent management, time management, and problem-solving skills.

Requirements

  • Work tenure: at least 5 years of experience supporting C-Level executives, preferably in a multinational company or a Fintech company.
  • Good administrative, organizational & communication skills. Demonstrated proactive approaches to problem-solving with strong decision-making capability.
  • High degree of professionalism in confidential information, sensitization with issues and being impartial in all solving situations.
  • Demonstrated ability to achieve high-performance goals, meet deadlines in a fast-paced environment, be adaptable to various competing demands, and demonstrate the highest level of customer/client service.
  • Experience and interest in internal and external communications, partnership development, and fundraising.
  • A forward-looking thinker who actively seeks opportunities and proposes solutions.
